Effective 22 April 2026 · A plain account of how Elite Answer Ghana collects, uses, holds, and protects your personal information — and the rights you retain over it.

Who we are

Elite Answer Ghana is a premium concierge call-answering service, founded 15 August 2020, with its house at Airport City, Level 14, Accra, Ghana. In this policy, "we", "us", and "our" refer to Elite Answer Ghana.

Our registration as a data controller

Elite Answer Ghana is registered with the Data Protection Commission of Ghana as a data controller under the Data Protection Act, 2012 (Act 843). Our Data Protection Officer is reachable at [email protected].

What this policy covers

This policy covers personal information we collect from three sources: visitors to eliteanswerghana.com, principals and representatives who enquire with us, and callers to lines we answer on behalf of client organisations.

What we collect

From prospective clients

Name, organisation, role, email, telephone, jurisdiction, engagement tier of interest, commencement timeline, and any information you voluntarily provide in the message field of our enquiry form. We also record the referrer (if any), the page on which the enquiry was submitted, and the timestamp.

From engaged clients

Account information (billing contact, invoicing details, payment method), operational information (your house manual, approved script, escalation protocol, authorised-persons register), and engagement correspondence.

From callers to our answering service

Name, telephone, email, organisation, reason for calling, and any details the caller chooses to share during the call, captured per our client's agreed script. Recordings and transcripts are retained according to the retention period specified in our client's engagement letter (default: 90 days for recordings, 24 months for transcripts).

From website visitors

IP address, device type, browser type, pages viewed, referring URL, and general geographic region (at country/city level). We use analytics tools that are configured to anonymise IP addresses before storage.

How we use your information

  • To respond to your enquiry and establish an engagement
  • To deliver our service — answering calls, capturing information, handing off according to your protocol
  • To meet our legal obligations in Ghana — taxation, Data Protection Commission reporting, lawful court orders
  • To bill clients and maintain accounting records
  • To improve our service through anonymised quality review
  • To protect against fraud, abuse, and threats to our clients or our house

Ghana-only data residency

All personal information we collect is stored on systems located in Ghana, owned by Elite Answer Ghana, and physically housed at Airport City, Accra. We do not transfer personal data outside Ghana except where (a) you have explicitly instructed us to do so in writing, or (b) we are compelled to do so by lawful court order.

Your rights under the Data Protection Act, 2012

If you are a Ghanaian data subject — or a person whose data we hold — you have the right to:

  • Be informed of the personal data we hold about you
  • Request a copy of that data
  • Request correction of inaccurate or incomplete data
  • Request deletion, where we are not required by law to retain it
  • Object to processing and withdraw consent
  • Complain to the Data Protection Commission of Ghana

Call recording consent

When we answer a call on behalf of a client, a short consent notice is played at the beginning of the call: "This call may be recorded for quality and record-keeping purposes." If the caller objects, the recording is not made and a note is retained in the call log. This protocol has been reviewed by our legal counsel against Ghanaian law and is followed without exception.

Who we share information with

We share personal information only with: (a) the client organisation on whose behalf the call was taken (because that is the purpose of the call); (b) our core technology providers, each of whom is bound by data-processing agreements governed by Ghanaian law; (c) our auditors, under confidentiality; and (d) regulatory authorities exercising lawful functions.

We do not sell personal data. Ever. We do not share client information between clients. Ever.

How long we keep information

  • Enquiries that did not become engagements — 24 months, then deleted
  • Call recordings — 90 days by default; per-client configurable from 7 days to regulatory maxima
  • Call transcripts — 24 months by default; per-client configurable
  • Billing and accounting records — 7 years, per Ghanaian tax law
  • Engagement documents — for the duration of the engagement plus 6 years

Security

Encrypted storage, access-controlled systems, two-factor authentication for all personnel, annual penetration tests by independent Ghanaian security auditors, physical security of the premises (electronic access control, CCTV on entries and exits but not on the operations floor), and continuous internal review.

Cookies and web tracking

Our website uses essential cookies (for session continuity and accessibility preferences) and limited analytics cookies (anonymised IP, no cross-site tracking). We do not run advertising pixels, behavioural-advertising tags, or social-media trackers on our website.

Changes to this policy

We update this policy when our practices change. The effective date at the top of this page always reflects the latest version. Material changes are notified to active clients by email; minor corrections and clarifications are published here without separate notice.
